Refund & Cancellation Policy
What happens to your money if a payment goes wrong, or your plans change.
Last updated: 21 September 2026
This policy applies to school fees paid online to Adarshabani Academy (High School) (“the School”) through the Adarshabani Parent app. It sits alongside our Terms of Use. Fees paid at the school office in cash, by cheque or by bank transfer are handled by the office under the same principles.
In short. If you were charged and the payment did not reach us, or you were charged twice, you get that money back in full. Fees for a service your child has already received are not refunded. Everything else is decided by the school office on a written request.
1. What you are paying for
Online payments cover school fees for an enrolled student: tuition, hostel and transport fees, charged by the month, and other charges the School has raised against the student. The amount is always calculated by the School’s finance system, never typed in by you, and is shown in Indian Rupees (INR) before you pay. There is no delivery or shipping: what you receive is a receipt and an updated fee record.
2. Failed payments
Sometimes money leaves your account but the payment does not complete — a network drop, a bank timeout, a UPI app closing mid-way. When that happens:
- No fee is marked as paid and no receipt is issued.
- The amount is returned to the account, card or UPI ID it came from automatically. You do not need to apply for it.
- This normally takes 5 to 7 working days, depending on your bank.
If the money has not come back after 7 working days, contact the office with the date, amount and the payment reference from your bank or UPI app, and we will trace it with our payment gateway.
3. Duplicate and excess payments
If the same fee is paid twice, or you are charged more than the amount shown to you, the extra amount is yours. Tell the office, and once we have confirmed it against our records you may choose either:
- a refund of the extra amount to the original payment method; or
- to have it adjusted against the student’s upcoming fees.
4. Cancelling a payment
You can abandon a payment at any point before you approve it in your bank, card or UPI app; nothing is charged. Once a payment has succeeded and a receipt has been issued it cannot be cancelled from the app. If you paid by mistake — the wrong child, or more months than you meant to — write to the office within 7 days and we will either refund it or adjust it against future fees, provided the period paid for has not already begun.
5. If your child leaves the School
- Months already begun or completed — tuition, hostel and transport fees for these are not refundable.
- Months paid in advance that have not begun — refundable on a written request from the parent or guardian, once the School has confirmed the withdrawal.
- Admission and re-admission fees — not refundable once the admission is confirmed.
- Security deposit — refundable when the student leaves, after deducting any unpaid dues and the cost of any damage or loss.
6. How to ask for a refund
Write to the school office, by email or in person, with:
- the student’s name, class and admission number;
- the receipt number, or the payment reference and date if no receipt was issued;
- the amount, and the reason for the request.
The request should come from the parent or guardian registered with the School. We will acknowledge it and let you know the decision within 7 working days.
7. How and when refunds are paid
Approved refunds of online payments are sent back to the original payment method — the same bank account, card or UPI ID — through our payment gateway. We do not refund online payments in cash. After approval, the money normally reaches you within 5 to 7 working days; the exact time depends on your bank. If the original method is no longer available, we will refund by bank transfer to an account in the registered parent’s name.
Fees paid are refunded in full where this policy says so. Charges your own bank or card issuer may have applied are outside our control.
8. Something still not right?
Please talk to the office before raising a dispute with your bank — it is almost always faster. If we cannot resolve it, these terms are governed by the laws of India and the courts at Malda, West Bengal have jurisdiction.
